Keep Interacting was experiencing growing pains. The event technology company was winning more deals and delivering more events, but their operations were still running on paper, spreadsheets, and manual coordination. They needed a system that could:

What We Did

Phase 1: HubSpot Starter (Months 1–3)

Evaluated multiple solutions with the Keep Interacting team and landed on HubSpot Starter CRM Platform as the right entry point. Built out:

  • Contact and company management — replacing scattered spreadsheets with a centralized database
  • Sales pipeline — a structured deal pipeline reflecting the event sales cycle from inquiry to signed contract
  • Basic email marketing — templates and sequences for lead follow-up
  • Task management — ensuring follow-ups and fulfillment steps weren't falling through the cracks

This phase focused on getting the team comfortable with a digital system and capturing data that would inform the Pro upgrade.

Phase 2: HubSpot Pro (Months 4–9)

With a few months of Starter experience, the team had a clear picture of what they needed. Led the upgrade to HubSpot Pro with a complete business solution:

  • Marketing automation — workflows for lead nurturing, event promotion, and post-event follow-up
  • Advanced sales pipeline — multiple deal stages with automation at stage transitions, required properties, and forecasting
  • Event fulfillment integration — tracking the handoff from closed deal to event delivery within the same platform
  • Custom reporting — dashboards covering sales velocity, marketing attribution, and fulfillment status
  • Process documentation — mapped and documented the full business lifecycle so new team members could onboard quickly

RESULTS

Outcome

Keep Interacting went from manual, paper-based operations to a fully integrated digital business platform in under nine months. The phased approach was the key — rather than overwhelming the team with enterprise features on day one, they built proficiency with Starter and upgraded when they were ready. By the time they were on Pro, the team was already self-sufficient with the basics and could immediately take advantage of advanced automation and reporting. The result was a streamlined operation where sales, marketing, and event fulfillment all ran through a single system with clear visibility at every stage.
