The Challenge
HighFlyer HR's sales team was creating proposals and service agreements manually — a time-consuming process that slowed down the sales cycle for their payroll and HR services. They needed a document automation solution that integrated with their HubSpot deal pipeline, so sales reps could generate accurate, branded proposals directly from deal records without starting from scratch each time.
What We Did
PandaDoc Setup & Configuration
- Built proposal and service agreement templates in PandaDoc, aligned with HighFlyer HR's branding and service offerings
- Configured pricing rules and product catalogs for accurate, consistent proposal generation across the sales team
- Set up approval workflows for document review before sending
HubSpot Integration
- Connected PandaDoc to HubSpot's deal pipeline so proposals are generated directly from deal records, pre-populated with contact, company, and deal data
- Configured document status tracking within HubSpot — the sales team can see when proposals are sent, viewed, and signed without leaving the CRM
Training
- Delivered admin training on PandaDoc configuration, template management, and pricing rule setup
- Provided sales team training (Kellen Waldrep) on day-to-day document creation, sending, and tracking

HighFlyer HR's sales team can now generate branded, accurate proposals in minutes instead of hours. The HubSpot integration means the entire document lifecycle — from creation to signature — is tracked within the CRM, giving management visibility into proposal activity and pipeline velocity. The team was trained to manage templates and pricing independently going forward.
